You need to register your details with the Groups Travel Hub here. We will then issue you with a Groups Travel Agreement. Once the hub has received your online acceptance of BA’s Terms and Conditions, you will be given access to the system for booking, ticketing and servicing your group bookings online.

How do I make a group booking?

When will I receive my system username and password?
Once the hub has received your online acceptance of the Groups Travel Agreement, you will receive your system username and password which will be sent via email.
Will agents be able to complete the entire sales process online?
Yes, the hub’s specialist online groups system allows the agent to fully manage the entire sales process:
- Check Availability and Pricing
- Confirm Bookings
- Add Group Passenger Names
- Request Upgrades and Amendments
- Insert API and Emergency Contact Data and Secure Flight information
- Ticketing Service
- Receive and record for payments you have sent
This will offer you more control over your bookings and will save you time.
Do I need training to use the system?
No training is required to use the hub’s Groups booking system. It offers simple point and click technology, which is easy to use. If you do require support, we can give you access to the online demo and prompt guide sheets with tips on using the system. Also our experienced Groups Sales Advisors are available to offer guidance.
Does the system offer immediate availability and pricing?
Yes. The system will present all flights using a green/amber/red display to indicate availability and cabin, including Club World and World Traveller Plus. There is also the option to check up to 7 days earlier or later. The system will display an instant price if seats are available. An email quotation will follow approx. 5 minutes later.
For more complex quotes or when there are restrictions on availability you will receive a response within 2 business days.
When are groups ticketing deadlines?
30 days prior to departure.
When are group passenger names required?
Passenger names as well as APIS, secure flight and ECD are required prior to ticketing (30 days prior to departure)
How do I issue groups tickets?
Agents can request their groups tickets online via the hub.
Deposit payment will be applied towards the final balance payment. Payments can be made by Check or Electronic Funds Transfer (Bank Transfer). Please see our payment options download for further information.
Will I need to pay a security deposit or make payments by MCOs?
British Airways no longer require a security deposit or MCOs for group bookings, as payments can now be made via Bank Transfer or by Check.
What is British Airways seating policy for group bookings?
Group seating is available and a block will be assigned to the group where available, 7 days prior to departure.
It is the responsibility of the agent to arrange the necessary documentation needed to gain entry to the destination country. Visa and passport requirements can be checked via batraveltrade.com
Can I make changes to group bookings?
You can request most changes online such as adding additional flights, upgrades, increasing or reducing the group size etc. After tickets are issued, all changes are handled manually. The terms and conditions allow for one free name change per passenger.
Can a groups passenger use a Self-Service Check-in Kiosk at the airport?
Groups passengers are permitted to use the Self-Service Check–in machines at their departure airport.
Will the hub advise me on my sales performance?
On request we can supply monthly Sales Performance Reports.
How do I get access to British Airways images for my brochure or website?
You can request artwork templates and images via email at info@ba-groups.com. All artwork, which features British Airways must be approved by the hub prior to publication. Please allow 48 hours for approval.
